1. About WasteLinks
WasteLinks (“WasteLinks”, “we”, “us”, “our”) is a platform operated by Wizmedia (wizmedia.co.uk). We operate an online marketplace that connects customers requiring waste management services with vetted, licensed waste-collection vendors (“Vendors”).
By accessing or using the WasteLinks platform — including our website, web application, and mobile application (together the “Platform”) — you agree to be bound by these Terms & Conditions (“Terms”). If you do not agree, you must stop using the Platform immediately.
2. Definitions
- Customer — any individual or organisation that places a booking for waste-collection services through the Platform.
- Vendor — any individual or organisation registered on the Platform to offer waste-collection or related services.
- Driver — an employee or subcontractor of a Vendor who uses the WasteLinks Driver App to fulfil jobs.
- Booking — a confirmed order placed by a Customer for a service offered by a Vendor.
- Services — any waste-collection, disposal, shredding, or related service listed on the Platform.
- Platform Fee — the commission charged by WasteLinks on each completed Booking (currently 10% of the Vendor’s service charge, exclusive of VAT).
3. Eligibility
You must be at least 18 years old to register on the Platform. By creating an account you confirm that you are 18 or over and that all information you provide is accurate, current, and complete. Business accounts must be operated by an authorised representative of the business.
4. Account Registration and Security
You are responsible for maintaining the confidentiality of your login credentials. You must notify us immediately at support@wastelinks.co.uk if you suspect any unauthorised use of your account. WasteLinks will never ask for your password via email or telephone.
We reserve the right to suspend or terminate accounts that breach these Terms, engage in fraudulent activity, or provide false information during onboarding.
Biometric sign-in (mobile, optional). If you enable Face ID / Touch ID on the WasteLinks mobile app, you authorise us to store your email and password locally in the iOS Keychain / Android Keystore, gated by the device biometrics enrolled on your device at the time of enrolment. You are responsible for ensuring only authorised people are enrolled in your device biometrics. WasteLinks cannot detect when an additional fingerprint or face has been added to your device. To revoke biometric sign-in immediately, sign out of the mobile app or remove the WasteLinks app from your device.
4a. Mobile Application Licence
WasteLinks grants you a non-exclusive, non-transferable, revocable licence to install and use the WasteLinks mobile application on devices you own or control, solely for the purpose of accessing the Platform in the manner permitted by these Terms. The mobile application is distributed through the Apple App Store and Google Play Store; you accept Apple Inc.’s Licensed Application End User Licence Agreement and Google’s Play Store Terms as supplemental terms when you install via those stores. You may not decompile, reverse-engineer, or attempt to extract the source code of the application except to the extent permitted by law.
5. Services Provided by Vendors
WasteLinks acts as an intermediary marketplace only. The contract for the provision of waste services is formed directly between the Customer and the Vendor upon confirmation of a Booking. WasteLinks is not a party to that contract and accepts no liability for the acts or omissions of any Vendor.
All Vendors listed on the Platform have confirmed they hold the relevant Environment Agency (EA) registrations and Waste Carrier Licences required by UK law. WasteLinks carries out verification checks but does not guarantee the ongoing compliance of any Vendor. Customers are encouraged to request certificates independently.
5a. Automated Verification Checks (Vendors)
To protect Customers and the integrity of the Platform, WasteLinks performs automated checks against public registers when a Vendor registers and at intervals thereafter. By creating a Vendor account you authorise us to:
- Companies House Public Data API — look up your registered company name, company number, status (active / dissolved / in administration / liquidation), company type, registered office address, and incorporation date. We use this to confirm your legal identity and prevent unauthorised listings.
- Environment Agency Public Register — verify your waste-carrier registration number, registered company name, tier, and expiry date.
Where the Companies House register shows your company as anything other than “active”, or where your company type is outside the categories we accept (limited company, public limited company, limited liability partnership, community interest company and similar registered entities), we may decline to approve or may suspend your account. Sole traders and other unregistered structures may continue to use the Platform without a Companies House number.
Both checks query data already in the public domain. We do not pay for, share, or receive any data from credit-reference agencies or commercial data brokers. The full payload retrieved at the time of each check is stored on your Vendor profile as an audit record.
6. Bookings and Cancellations
A Booking is confirmed when the Customer receives a booking-confirmation email from WasteLinks. Customers may cancel a Booking subject to the following:
- Cancellation more than 48 hours before the scheduled collection: full refund of any pre-paid amount, less a £10 administration fee.
- Cancellation within 48 hours of the scheduled collection: a cancellation charge of up to 50% of the Booking value may apply, at the Vendor’s discretion.
- No-show or same-day cancellation: no refund.
Vendors may cancel a Booking with reasonable notice. In such cases the Customer will receive a full refund. Repeated Vendor cancellations may result in account suspension.
7. Payments
All payments are processed securely via Stripe. Using Stripe Connect, WasteLinks facilitates and collects the payment for each Booking and remits the Vendor’s share to the Vendor’s connected Stripe account. Card details are held by Stripe and are never stored on WasteLinks servers.
The Platform Fee (plus VAT where applicable) is deducted automatically from the payment at the point of settlement by Stripe, and the balance is transferred to the Vendor. The Platform Fee is not invoiced to the Vendor separately; each Vendor authorises this deduction by accepting the Vendor Agreement.
Prices are shown inclusive of VAT only where the Vendor is VAT-registered. Vendors who are not VAT-registered do not charge VAT, and their prices contain none. Where VAT applies, it is shown separately on the booking summary and on your receipt.
8. Vendor Obligations
Vendors must: (a) hold all licences required by law; (b) maintain adequate public liability insurance (minimum £1,000,000); (c) provide accurate service descriptions and pricing; (d) fulfil Bookings promptly and professionally; (e) provide waste-transfer notes and any certificates of destruction required by applicable law; (f) comply with the Environment Agency’s duty-of-care requirements; and (g) notify WasteLinks promptly of any change to their company status at Companies House (including dissolution, insolvency, administration, or change of registered office) and any change to their EA waste-carrier registration.
9. Intellectual Property
All intellectual property in the Platform — including its text, graphics, logos, design, user interface and “look and feel”, software, source and object code, and database structure and content — is owned by WasteLinks (a Wizmedia platform) or its licensors and is protected by UK and international intellectual-property law. WasteLinks grants you only a limited, non-exclusive, non-transferable, revocable licence to access and use the Platform for its intended purpose.
You must not, without our prior written consent: reproduce, distribute, publicly display or create derivative works from any part of the Platform; reverse-engineer, decompile or disassemble it (save to the extent permitted by law); access or extract its data by scraping, crawling, bots or other automated means; or resell, redistribute or commercially exploit the Platform or its data. All WasteLinks names, logos, trade dress and other brand features are reserved, and no right to use them is granted except as expressly permitted in writing.
10. Limitation of Liability
To the fullest extent permitted by law, WasteLinks’ total liability to you in connection with the Platform shall not exceed the greater of £100 or the total fees paid by you to WasteLinks in the three months preceding the event giving rise to the claim.
WasteLinks is not liable for: any loss of profit, revenue, or data; any indirect or consequential loss; or any loss arising from the acts or omissions of Vendors, Drivers, or third-party service providers.
Nothing in these Terms limits liability for fraud, death, or personal injury caused by our negligence, or any other liability that cannot be limited by law.
11. Disputes
If a collection has not been performed to a satisfactory standard, Customers can raise a formal dispute from the booking detail page on the web or in the mobile app. The “Raise a Dispute” option is available on any booking with status “completed” for up to 90 days after the collection date — this window matches the period we retain driver GPS logs and photographic evidence so the dispute can be investigated on the merits.
When you raise a dispute you provide: (a) a short reason, (b) a detailed description of what went wrong and the outcome you are seeking, and (c) optionally the disputed amount. The dispute is automatically routed to WasteLinks support and the Vendor is notified by email. WasteLinks will review the booking, job sheet, photographic evidence, GPS log, both parties’ signatures and the Section 34 Waste Transfer Note. We aim to issue a resolution within 5 business days; complex disputes may take longer.
Only one open dispute is permitted per booking. If you reject our resolution you retain your statutory rights under UK consumer-protection law and may also dispute the charge with your card issuer (a “chargeback”); a chargeback automatically opens a parallel dispute on our side because Stripe notifies us via webhook.
The contract for the underlying service remains between you and the Vendor (see clause 5); WasteLinks acts as mediator, not as the contracting party.
12. Governing Law
These Terms are governed by and construed in accordance with the law of England and Wales. Any dispute arising out of or in connection with these Terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.
13. Changes to These Terms
We may update these Terms from time to time. We will notify registered users by email at least 14 days before material changes take effect. Continued use of the Platform after that date constitutes acceptance of the updated Terms.
